Asset Management
This section outlines how to manage images, videos, audio, and other media assets within MAXRES Construct using the Asset Management interface.
Overview
The Asset Management system—also called the Asset Library—is a centralized repository for all media used across your courses. It is accessible via the main navigation menu (☰ Hamburger icon).
Requirements
- Course Creator or Admin permissions with access to Asset Management
- Supported file types and size limits as defined by your instance configuration
Asset Management Interface
The interface includes several key features:
- Upload new asset: Upload a new single asset
- Bulk Upload: Upload a directory of assets
- Search Bar: Find assets by keyword, filename, description, or tag
- Filtering/Sorting: Narrow down assets by type
- Asset Grid/List View: Displays uploaded assets (thumbnail or list view)
- Asset Details Panel: View and manage metadata for individual assets
Uploading Assets
Single Upload
- Open Asset Management from the navigation menu.
- Click
Upload Asset. - Choose a file from your device.
- Add metadata (Title, Description, Tags).
- Confirm upload.
Bulk Upload
- Open Asset Management.
- Click
Bulk Asset Upload. - Select asset directory to upload them via a file browser.
- Optionally apply shared metadata to the batch or edit each asset later.
Supported file types and size limits may vary by instance. Common formats include .jpg, .png, .mp4, .mp3, .pdf, .glb, etc.
Asset Metadata
Applying metadata helps organize and retrieve assets efficiently.
- Title: A readable name (defaults to filename but can be edited)
- Description: Short summary of the asset’s purpose or content
- Tags: Keywords for categorization and improved searchability
Asset metadata can be added at the point that it is uploaded, or by selecting the asset and then selecting Edit in the Asset Details Panel
Use consistent tagging conventions to improve search accuracy across your team.
Searching & Filtering Assets
The search and filtering tools help locate assets quickly:
- Search Bar: Search by Title, Description, Tags, or Filename
- Filters: Refine results by file type and tags
Editing Asset Details
- Select an asset to open its Details Panel.
- Edit metadata (Title, Description, Tags).
- Save your changes.
Changes take effect immediately and improve discoverability within the system.
Checking Asset Usage
To check where an asset is being used:
- Select the asset in the Asset Manager view
- Select Usage
- View the list of locations where the asset is being used
Updating or Replacing Assets
To update an asset without breaking existing links in courses:
- Upload the new asset that you would like to replace the current asset with
- Select the current asset in the library.
- Select
Replace. - Select the new file in the .
Replacing an asset can update it everywhere it is used unless you specify the specific locations that you want to be updated. If you are performinga global update of an asset ensure the new version is appropriate for all contexts.
Deleting & Restoring Assets
Deleting an Asset
- Select the asset(s) you wish to remove.
- Click
Delete.
If a user with a Course Creator role deletes an asset, it will only be "soft deleted", this does not delete the asset, but rather makes it unavailable for further use (any locations where the asset is currently being used will be unaffected). If you are a Super Admin or Workspace Admin, you will have the ability to restore soft deleted assets to re-enable them for general use.
Deleting an asset in use may cause errors (e.g., “Asset Not Found”) in courses that reference it. Some configurations may prevent deletion if an asset is currently in use.
Restoring Deleted Assets
- Access to the Asset Management view as either a Super Admin or a Workspace Admin
- Select the soft deleted asset (thumbnail will have a block symbol over the image)
- Select Restore from the asset details panel
By managing assets effectively, you can streamline content creation, improve course consistency, and avoid broken references in your learning materials.
